What PT software costs in the UK in 2026

What PT software costs in the UK in 2026. From the Apogee Coach team.

Most personal trainer software looks cheap on the pricing page and costs more by the time you are using it properly. This guide sets out what the main tools charge, where the extra costs come from, and how to work out your real monthly figure before you commit.

The short answer

For an independent personal trainer in the UK, coaching software runs from about £20 a month for a handful of clients to well over £150 a month once you have a full roster and the extras switched on. Where you land depends on three things:

  • how many clients you have, because most tools charge by client numbers;
  • which extras you need, such as taking payments, nutrition, class booking or your own branded app;
  • whether the price is in pounds or in dollars.

How providers charge

Most coaching apps use one of three models, and many mix them.

By client numbers. The most common model. You pay for a band of active clients, such as up to 20 or up to 50, and move up a band as you grow. It keeps the starting price low, but your bill rises as your business does.

By feature tier or add-on. A base plan covers programming and messaging. The things that run the business side, such as payments, class booking, meal plans and your own app, sit on higher tiers or cost extra each month.

By location. Studio and gym software is usually priced per site and by member numbers, and is built around classes rather than one-to-one coaching.

List prices, checked on 8 October 2026

The table shows the monthly prices listed on each provider’s own pricing or help pages when we checked on 8 October 2026. Most are in US dollars, so what you pay in pounds moves with the exchange rate, and your bank may charge a fee for paying in another currency. Prices change often, some are lower if you pay for a year up front, and VAT may be added at checkout, so check the provider’s own page before you sign up.

Provider Listed price What it covers
PT Distinction $19.90, $59.90 or $89.90 a month 3, 25 or 50 clients, with extra clients charged on top. The two higher plans include your own branded app.
Kahunas $35, $69 or $99 a month Up to 25 clients, up to 50, or unlimited. A branded app is on the top plan.
TrueCoach $26.34, $57.99 or $136.99 a month 5, 20 or 50 active clients. Reviews published in 2026 say these are the annual billing rates, and that paying monthly costs more.
Trainerize About $135 a month for 50 clients Trainerize’s own 2026 cost guide. Payments ($10 a month), in-app booking ($25) and advanced nutrition ($20 to $45) are add-ons.
Everfit Free for up to 5 clients Paid plans are priced by client numbers. Taking payments is a $9 a month add-on.
TeamUp £99 a month Class and studio booking, for up to 100 active customers.

The costs on top of the subscription

The subscription is rarely the whole bill. Before you compare tools, add these up.

Payment fees. Card and Direct Debit payments carry fees from the payment provider, whichever app you use. On Stripe’s standard UK pricing, when we checked on 9 October 2026, a standard UK card costs 1.5% plus 20p a payment, and a Bacs Direct Debit costs 1%, capped at £4. Check whether the app adds its own fee to each payment as well, and whether it charges a monthly fee to connect payments at all.

Recurring billing. Some tools collect monthly payments through a subscription billing service, which can add its own percentage on top of the payment fees.

Your own branded app. A store app with your name on it usually sits on a higher plan or costs extra, and you will normally need your own Apple developer account, at $99 a year or the local equivalent, and a Google Play account, at $25 once. Your own branded app explains what else it takes.

Nutrition, video and AI. Meal plans, video libraries and AI features are often add-ons, priced by the month or by how much you use them.

Class booking, forms and a website. If you run classes, you may be paying for a separate booking system, a form tool for health questionnaires and a website builder as well.

More coaches. A second coach or an assistant usually costs extra each month.

Working out what you will really pay

For each tool you are considering, write down:

  1. the plan you would need for the clients you expect to have in a year, not just today;
  2. every add-on you would switch on;
  3. the price in pounds, with any VAT and your bank’s fee for paying in dollars;
  4. the payment fees on what your clients pay you each month;
  5. any separate booking, forms or website tools you would still need.

Then compare the totals, not the headline prices. A tool that starts cheaply can end up dearer than one with a higher starting price once the extras are in, and a price that rises with every client works against you as you grow.

Where Apogee fits

Apogee is priced in pounds, by the parts of your business you switch on, and never by the number of clients:

  • Base, with your app in your brand, client logins, messages, and card and Direct Debit payments: £12 a month.
  • Coach bundle, adding coaching plans, one-to-one bookings, onboarding forms, and nutrition and data: £55 a month.
  • Classes bundle, with timetables, memberships and waiting lists, and onboarding forms: £29 a month.
  • Studio bundle, with everything, including marketing and your website: £99 a month.

Your clients pay you by card or Bacs Direct Debit, straight into your own Stripe account, and Apogee takes no cut of their payments. You pay monthly and can cancel at any time. Build your own selection on the pricing page, or try the demo to see the app first.
